Merchant account application checklist: prepare the file before underwriting.
A complete file cannot guarantee approval, but it can prevent avoidable delays and give an underwriter a coherent picture of the business.
Before you submit
The six-part merchant application file
Build one organized package covering identity, banking, website, products, fulfillment, and processing history. Name files clearly, remove expired versions, and make sure legal names, addresses, owners, URLs, and bank details match across documents.
1. Entity, ownership, and identity
- Formation or registration documents and any current amendments.
- Beneficial-owner and authorized-signer information.
- Government-issued identification when requested through the secure application channel.
- Operating and registered addresses, phone, email, and website domain.
- Licenses or registrations relevant to the category and jurisdiction.
2. Banking and financial evidence
- Bank letter, voided check, or statement showing the legal entity and settlement account.
- Recent business bank statements when requested.
- Financial statements for larger exposure, long fulfillment windows, or rapid growth.
- An explanation of expected volume, average ticket, maximum ticket, seasonality, and growth assumptions.
3. Website and customer experience
Review the live site as an underwriter and a customer would. Product descriptions, pricing, contact information, shipping timeframes, refund rules, privacy terms, and subscription terms should be visible and consistent. Remove broken links, placeholder text, unsupported claims, and checkout paths that do not match the application.
Make the billing descriptor and customer-support path easy to recognize. Confusion after the sale often becomes refunds or disputes later.
4. Products, suppliers, and fulfillment
- Current product or service catalog with prices.
- Supplier invoices, purchase orders, inventory evidence, or service-delivery documentation.
- Fulfillment locations, carriers, tracking process, and realistic delivery windows.
- Preorder, dropship, digital-delivery, or continuity details where applicable.
- Category-specific labels, specifications, licenses, or compliance materials requested by the reviewer.
5. Processing history and risk controls
When the business has history, provide complete recent processing statements rather than selected screenshots. Note sales, refunds, chargebacks, tickets, reserves, and any material volume changes. Explain unusual events with dates, causes, corrective actions, and current results.
Document fraud screening, customer verification, refund handling, chargeback alerts, order review, and escalation ownership. The point is not to claim zero risk; it is to show that the business measures and manages it.
6. Final consistency check
- Match the legal name and address across the application, bank, website, and documents.
- Confirm every product and sales channel is disclosed.
- Reconcile the stated volume and tickets to statements or reasonable forecasts.
- Open every policy and checkout link on desktop and mobile.
- Remove sensitive information from ordinary email; upload it only through the approved secure flow.

Do startups need processing statements?
A startup may not have statements. Mark the business as pre-launch or newly trading and provide realistic forecasts, funding or bank evidence, supplier documentation, and a clear fulfillment plan instead of inventing history.
Should a prior termination be disclosed?
Answer application questions truthfully. If a prior closure is relevant, explain what happened, what changed, and provide supporting evidence. An undisclosed contradiction can be more damaging than a well-documented issue.
